Meridian RV is a third generation family-owned business founded originally as Meridian Mobile Manufacturing by Doug Ramsay Sr. and his two sons in 1967, later becoming Meridian RV in 1995. The Ramsay family still owns and operates the business out of two locations, one just minutes from Highway 1 on the Mary Hill Bypass in Port Coquitlam (Vancouver), and the other in 100 Mile House, at the junction of Highway 97 and Highway 24 (Central BC). For the 2016 rental season, we will be offering rentals out of our Port Coquitlam location.

Meridian RV Rental Terms

Payment
The initial deposit paid is non-refundable. Payment will be deducted from your nominated credit card at the time of confirmation.
The balance payable is due 35 days prior to pick up. This payment will be deducted from your nominated credit card.
The supplier accepts wire transfer as well as credit card payment. There is a 2% surcharge for all credit card payments.

Cancellation fees
The initial deposit paid is non-refundable. In addition to forfeiting your deposit, the following charges also apply:

3 days before pick up or No Show No refund
4 - 18 days before pick-up 75% of rental charges + tax
19 - 33 day before pick-up 60% of rental charges + tax
Up to 33 days before pick-up $200 + tax
Cancelled within 3 days of booking No charge

 

 

 

 

 

Amendments to Reservation
After confirmation we allow the addition of extra items to bookings at no additional charge, and, providing there is availability, we allow one category or date change. The total number of days booked must be the same, or no more than 3 days less than the original booking. For all other date or category changes, there would be a service fee of $50 per amendment.

Travel insurance
We strongly recommend that clients ensure they take out the highest level of travel insurance. In many cases, this will cover any losses incurred if you are forced to cancel your booking.

Rates Include
Limited Risk ‘CDR’ Insurance, Parking at Meridian, Luggage Storage, Back-up Camera, TV, Generator, Travel to the United States.

Please note: Meridian RV will not offer refunds or on-the-road repairs for back-up cameras, generators, television sets and awnings that malfunction while on the road.

Convenience Kits & Kitchen Equipment
Customers can select if they want ‘Convenience Kits’, which include towels, linens and kitchen equipment, or just ‘Kitchen Equipment’, which gives them everything they need in the kitchen, but no towels or linens.

Minimum Number of Rental Nights
Minimum 7 nights required. Renter can book for less, but must still pay for 7, with the stipulation that the pick-up and drop-off dates must be confirmed at time of booking and cannot be altered. Northern Rentals, Early Bird Discounts and All Inclusive Package require a minimum of 14 nights.

Driver Age Requirements
Renters must be between the ages of 25 and 75. Passengers 21-24 years of age can drive, but only if the principal driver/renter is 25 years of age, or older.

License Requirements
For all drivers a national driver’s license from their home country is required. For local residents, a Canadian or American license is sufficient, however, overseas residents may be required to produce an international driver’s license for translation purposes if their license is not in English script, or similar. An international driver’s license is only valid in conjunction with a national driver’s license.

Principal Driver/Renter
All drivers must be present to sign Terms & Conditions and insurance papers at time of pick-up. The ‘principal driver’ is the renter, and he/she must be the one to produce a valid MasterCard or Visa for security deposit (no pre-paid credit cards, debit cards, wire transfers or cash). The principal driver must also be present at drop-off. No exceptions to these conditions. At pick-up Meridian RV reserves the right to refuse a rental to a driver not deemed fit to handle an RV.

Customers With Ferry Reservations
Customers booking ferry reservations should book no earlier than a 15:00 sailing if they have requested the Early Pick-Up Guarantee, and no earlier than the 18:00 sailing for all other rentals. Pick-up appointments can take up to 2 hours, and it’s usually a 60 to 90-minute drive to the ferry. BC Ferries requires all passengers with reservations to arrive at their terminal 30 minutes prior to departure (or they could lose their reservation).

Customer Check-In Form
We ask all renters to complete a Customer Check-In Form, which will be sent with their confirmation at the time of booking (can also be downloaded on the website). Forms can be emailed or faxed to Meridian RV at the renter’s earliest convenience, but we would prefer no later than 30 days prior to their first rental day.

Required First Night in Hotel
For safety reasons, all renters arriving on overseas flights must spend their first night in a hotel.

Early Pick-Up Guarantee
Renters can request an Early Pick-Up Guarantee, which guarantees an assigned pick-up between 08:30 and 12:00 (surcharge applicable). Please note that this scheduled pick-up time is at the discretion of Meridian RV rental clerks. Early Pick-Up must be requested at the time of booking, and renters are required to contact the station 48 hours in advance of their first rental day to confirm their pick-up appointment time.

RV Pick-Up Appointment
Regular RV pick-up for rentals is between 11:00 and 15:00, and all renters are required to contact Meridian RV to discuss their pick-up appointment time with one of our rental clerks either the day before their rental (between 15:00 and 16:30), or the morning of their rental (between 08:30 and 09:00). These RV pick-up times are pre-determined by our rental staff to avoid long waits at our station. Customers should be prepared to pick-up their units at the assigned time between 11:00 and 15:00.

Rental Returns
Returns take place between 08:30 and 11:00 at our station in Port Coquitlam on a first-come-first-serve basis. Renters must be physically present at drop-off and cannot send someone in their stead to close their contract. Renters are not permitted to just leave their units in the Meridian RV parking lot; nor are they able to park them on the road in front of Meridian RV, as it puts the unit at risk of damage and is prohibited by the city (and will, therefore, be subject to a $500 charge by Meridian RV).

Late Returns
Since late returns are disruptive to daily procedures in our rental department and an inconvenience to customers waiting to pick up motorhomes, vehicles dropped off at Meridian RV between 11:00 and 15:00 on the official drop-off day will be subject to a $50 per hour late charge. No units can be dropped off after 15:00--no exceptions. Customers that do not drop off by 15:00 will be subject to a further charge of 1 rental night, and must be at the station at 08:30 the following morning. Further charges will be applicable if the unit still hasn’t been dropped off at 08:30. For all late returns transfers are considered void.

Early Returns
We allow early drop-offs, but will not offer a refund for lost days. If a return transfer has been booked, we require the unit be dropped off during our regular drop-off period between 08:30 and 11:00, or the transfer will be void.

Potential Charges at Drop-Off
• Failure to bring unit back with a full tank of gas ($50 refuelling fee plus cost of gas)
• Failure to empty storage tanks ($25 charge per tank)
• Failure to refrain from smoking in unit ($250 charge)
• Failure to notify Meridian RV of pets travelling along ($500 charge)
• Failure to bring unit back clean inside/outside ($100-300 charge, depending on condition of unit)
• Failure to return unit in the presence of a rental clerk during regular business hours ($500 charge if unit left on street in front of Meridian RV)

Lost Items
Meridian RV is not responsible for lost items, however, as a favour to our customers, we are happy to ship them ($25 service fee, plus the cost of shipping). We cannot hold lost items indefinitely, so unclaimed items will be kept no longer than 1 week after drop-off.

Transfers
Available to/from downtown and airport hotels only (does not include private, B&B, AirB&B or hostel accommodations). We do not pick up from the airport, but will provide a transfer to the airport after rental. Transfers are offered during scheduled pick-up and drop-off times only. When renters call to book their pick-up appointment, they will also be advised of their transfer time. Transfer times are pre-determined by our rental clerks, and will be assigned to customers. All customers travelling with wheelchairs or scooters should advise Meridian RV of this (preferably upon booking), so that the driver can be notified in advance of the transfer. When travelling with children, proper car seats are required and must be provided by the renter. Due to limited storage in our shuttles, we allow a maximum of 1 suitcase (or equivalent) and 1 carry-on bag, per person. No transfers will be provided for bikes, snowboards, large equipment or oversized luggage. No transfers will be provided for late returns after 11:00, or early returns on a different day other than originally scheduled after 11:00.

Sightseeing Transfers
On request only, narration/sightseeing is available at no additional charge to all customers that have booked transfers. Renters interested should advise Meridian RV when filling out their Customer Check-In Form, or when calling our station 24 hours in advance of pick-up. Please note that on extremely busy days this service may not be available due to time constraints.

Children Travelling Along

- Meridian RV must be advised of children travelling along in child seats or booster seats (provided by renter). Our units come equipped with lap belts only and at least one tether with which to secure children in forward-facing child seats.

-  Rear-facing car seats and booster seats cannot be safely installed (because they cannot be attached to a tether/anchor), and therefore they are not permitted. 

-  No children under 12 years old are permitted to ride in the front of the vehicle

-  Meridian RV cannot tell parents what child restraints are best-suited for their children. All that we can do is advise on what is considered the minimum requirement for child restraint seats, and what our motorhomes can accommodate:

ICBC Minimum Requirements

Infants/Toddlers (until at least 1-year-old and 9kg (20lbs) Rear-Facing Car Seat Not Permitted - The back of a rear-facing car seat cannot be secured to a tether.
Toddlers/Preschool (older than 1 year and between 9-18kg (20-40lbs) Forward-Facing Car Seat Permitted - Secured with a lap belt and tether. 
Children under 9: More than 18kg (40lbs) or 145 cm (4'9'') tall - it is more dangerous to use a booster seat with a lap belt than it is to use a lap belt alone.  Booster Seats Not permitted - Booster seats should only be used with 3-point seat belts, but like the most motorhomes in North America, our units only come equipped with lap belts. 

Note: Car seat recommendations are always changing, and not always consistent. Child Seat Rentals
A limited number available on request only (see rates) and they must be requested at the time of booking. Renter responsible for installation.

Pets
Only permitted in a limited number of units—maximum 30 pounds—and Meridian RV must be advised at booking (Pet Surcharge applicable).

Instructions Before Departure
Pick-up appointments take 90-120 minutes. During this time one of our rental clerks will fill out paperwork with the renter, review insurance information and give them a demonstration of their rental unit. If necessary, a test drive can be arranged. Before leaving the station, each renter receives a rental guidebook and other helpful information for their trip.

US Border Crossing
There is no additional charge for travel to the United States.

Northern Rentals
Limited travel in B Class, C-SM and C-MED units permitted north of Fort St. John along the Alaska and Cassiar Highways into the Yukon and Alaska (Northern Surcharge applicable). No travel permitted on the Dempster Highway (also referred to as Yukon Highway 5 and Northwest Territories Highway 8) into the NW Territories and Nunavut.

Travel Restrictions
No travel permitted: on the Dempster Highway (also referred to as Yukon Highway 5 and Northwest Territories Highway 8) into the NW Territories and Nunavut; to Mexico; to any outdoor festivals, events or concerts (including Burning Man); to Death Valley, California, from June 1st to August 31st; on roads designated on official provincial or state maps as ‘other roads – gravel or dirt’. Insurance coverage is void if travelling in restricted areas without authorization, and renters will be subject to a $2,000 penalty. All repairs, damages and delays caused by mechanical breakdowns in restricted areas are the responsibility of the renter.

Required Security Deposits
At pick-up, renters are required to pay a Security Deposit in the amount of the deductible for whichever insurance coverage they have
requested. The premiums for Basic Insurance are included in all Meridian RV rates. Security Deposits are as follows:

Basic Insurance: $3750 Security Deposit
Limited Risk ‘CDR’ Insurance: $750 Security Deposit

We accept only MasterCard and Visa credit cards for the Security Deposit––no American Express, cash, wire transfers, debit cards or pre-paid credit cards. The Security Deposit will be refunded at drop-off provided unit has been returned on time, there is no damage, it’s clean on the inside and out, all equipment is present and undamaged, the holding tanks are all empty, the gas tank is full (immediately upon arriving at station for pick-up), and no damage claims have been made. Please note that in all cases the exchange rate difference between the deposit given at pick-up and the refund given at drop-off is the renter’s responsibility.

Basic Insurance/Limited Risk ‘CDR’ Insurance
Meridian RV units are insured for $5,000,000 Third Party Liability coverage (public liability and collision). Premiums for this Basic Insurance are included in all rental rates with a deductible of $7,500 per occurrence. This deductible of $7,500 is further reduced by Limited Risk ‘CDR’ insurance, which is included in our nightly rates.

In all situations below Meridian RV Insurance would be considered VOID and the renter responsible for 100% of costs incurred:

  • Hit and Run by the renter or additional drivers
  • Roof damage caused by careless handling of a unit (includes backing into objects and scraping against objects)
  • Undercarriage damage caused by careless handling of a unit (includes bottoming out going over speed bumps, sidewalks and other objects unit is unable to clear; includes damage caused by driving on gravel roads)
  • Interior damage
  • Awning damage
  • Negligent behavior resulting in damage to the unit (includes driving under the influence of alcohol or drugs, travel in restricted areas, towing of any kind, deliberate damage to the unit, or driving without a valid license)
  • Careless behavior resulting in damage to the unit (includes failure to maintain fluid levels, failure to use specified fuel, use of contaminated fuel, water in the fuel tank, failure to use the tow-haul feature when driving on steep hills, freezing of the vehicle’s water system in temperatures below zero)

Repairs and Breakdowns While on the Road
The possibility of mechanical failure or breakdown is an inherent risk associated with the rental of an RV. Any repairs (or replacement parts) costing less than $100 do not require prior authorization of Meridian RV before servicing. For costs in excess of $100, please contact our station first. Reimbursement will be provided at drop-off only when both a receipt and the part replaced are presented to one of our rental clerks. In all cases, the renter will not be reimbursed for loss of time, transportation costs, inconvenience, food loss in vehicle, or any other expenses resulting from repairs to unit. Please note that Meridian RV will not offer refunds for malfunctioning back-up cameras, generators, television sets and awnings, as these are added extras we provide to the customer at no additional charge.

Accidents
Any accident, damage to vehicle, vandalism, fire or theft, must be reported to Meridian RV and the Police within 24 hours of occurrence. Please note that we require a written accident report (found in the customer’s rental guidebook) and a police report file number. In the event the police do not file a report, the renter has to show proof they reported the incident to authorities. For this purpose a written note or business card is sufficient. Meridian RV also requires pictures of the damage to the unit and accident scene, in order to assist in determining the circumstances of the incident. Failure to provide this information will render the insurance null and void.

Insurance Claims
If a renter is involved in an incident, Meridian RV will hold their deposit for the maximum deductible amount according to their insurance coverage, and for a period ranging from 1-4 months in duration. Please note that only the insurance company can expedite the claim; it is out of Meridian RV’s hands at this stage. The final cost to the customer will be the maximum deductible charge (as per insurance purchased), where expenses include––but are not limited to––damage to the Meridian RV vehicle, damage to third party property, injury claims, towing charges, storage fees, insurance adjuster fees and legal fees. In the event the unit is stolen or rendered inoperable, our insurance does not cover accommodation, transportation or vehicle replacement costs.

Responsibility of Renter
When on the road we require renters to exercise prudence in handling and operating our rental vehicles. Misuse and the failure to exercise due care and attention in their operation may result in charges for incurred damage. Please note the customer is also responsible for routine on-the-road maintenance, which includes checking tire pressure, engine oil, and coolant levels, at each refuelling. Renters will be held responsible for damage that results should regular maintenance be neglected.

RV Availability & Upgrades
On rare occasions––when due to unforeseen circumstances a unit suddenly becomes unavailable––it may be necessary to offer a customer a unit other than the one originally booked. In such a situation Meridian RV reserves the right to substitute the unit with one of equal or greater value. Any subsequent expenses (gasoline, ferry costs, etc.) are the sole responsibility of the renter. Should a downgrade be necessary, Meridian RV’s only obligation would be to refund the customer the cost difference between the two vehicles. In the event the renter refuses to accept the vehicle offered, no refund will be offered.

Terms of booking on this website 

Information disclaimer
The rates on this website are often heavily discounted. This is due to our negotiated rates and bulk buying power. On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.

Liability
To the extent permitted by law we/the owners of this website will not be liable to you or to any third party (whether in contract, tort, or otherwise) for any direct, indirect or consequential loss or damage (including but not limited to any accident, injury, delay or loss of enjoyment) arising out of your reliance upon information contained on this website, including but not limited to your use (or inability to use) any products or services described or procured through this website.

When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. Your rental and use of the vehicle will be governed by the terms of the rental agreement and any other documentation or information provided to you by the supplier at the time you pick up your vehicle. The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.

While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. If you encounter issues with the vehicle whilst on hire, you MUST report these issues directly to the relevant supplier at the earliest possible time. This will allow the supplier to remedy any issues and minimise any inconvenience to you.  If you fail to report any vehicle issues during your rental, it is likely that compensation will not be offered. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.

Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.95% credit card or debit card surcharge will be added when your payment is processed.

A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

Information disclosure
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Motorhome rental alterations (all charges stated in local currency): 25.00
The alteration fee will not be charged if your alteration request is not possible.

Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.

Refund Policy
We are committed to providing a quality service and aim for complete customer satisfaction. In the event of cancellation, any refunds or penalties are detailed in the terms and conditions of your selected vehicle that you are asked to read and accept at time of booking. In the event you are unsatisfied with our service, please contact us within 48 hours of placing your booking or request and we will work to resolve any issues and determine if compensation is due. In the event you have completed your rental and are unhappy with your vehicle, we are happy to assist you in seeking compensation from the operator of the vehicle.

Payment

Amendments to Reservation
After confirmation we allow the addition of extra items to bookings at no additional charge, and, providing there is availability, we allow one category or date change. The total number of days booked must be the same, or no more than 3 days less than the original booking. For all other date or category changes, there would be a service fee of $50 per amendment.

Travel insurance
We strongly recommend that clients ensure they take out the highest level of travel insurance. In many cases, this will cover any losses incurred if you are forced to cancel your booking.

Rates Include
Limited Risk ‘CDR’ Insurance, Parking at Meridian, Luggage Storage, Back-up Camera, TV, Generator, Travel to the United States.

Please note: Meridian RV will not offer refunds or on-the-road repairs for back-up cameras, generators, television sets and awnings that malfunction while on the road.

Convenience Kits & Kitchen Equipment
Customers can select if they want ‘Convenience Kits’, which include towels, linens and kitchen equipment, or just ‘Kitchen Equipment’, which gives them everything they need in the kitchen, but no towels or linens.

Minimum Number of Rental Nights
Minimum 7 nights required. Renter can book for less, but must still pay for 7, with the stipulation that the pick-up and drop-off dates must be confirmed at time of booking and cannot be altered. Northern Rentals, Early Bird Discounts and All Inclusive Package require a minimum of 14 nights.

Driver Age Requirements
Renters must be between the ages of 25 and 75. Passengers 21-24 years of age can drive, but only if the principal driver/renter is 25 years of age, or older.

License Requirements
For all drivers a national driver’s license from their home country is required. For local residents, a Canadian or American license is sufficient, however, overseas residents may be required to produce an international driver’s license for translation purposes if their license is not in English script, or similar. An international driver’s license is only valid in conjunction with a national driver’s license.

Principal Driver/Renter
All drivers must be present to sign Terms & Conditions and insurance papers at time of pick-up. The ‘principal driver’ is the renter, and he/she must be the one to produce a valid MasterCard or Visa for security deposit (no pre-paid credit cards, debit cards, wire transfers or cash). The principal driver must also be present at drop-off. No exceptions to these conditions. At pick-up Meridian RV reserves the right to refuse a rental to a driver not deemed fit to handle an RV.

Customers With Ferry Reservations
Customers booking ferry reservations should book no earlier than a 15:00 sailing if they have requested the Early Pick-Up Guarantee, and no earlier than the 18:00 sailing for all other rentals. Pick-up appointments can take up to 2 hours, and it’s usually a 60 to 90-minute drive to the ferry. BC Ferries requires all passengers with reservations to arrive at their terminal 30 minutes prior to departure (or they could lose their reservation).

Customer Check-In Form
We ask all renters to complete a Customer Check-In Form, which will be sent with their confirmation at the time of booking (can also be downloaded on the website). Forms can be emailed or faxed to Meridian RV at the renter’s earliest convenience, but we would prefer no later than 30 days prior to their first rental day.

Required First Night in Hotel
For safety reasons, all renters arriving on overseas flights must spend their first night in a hotel.

Early Pick-Up Guarantee
Renters can request an Early Pick-Up Guarantee, which guarantees an assigned pick-up between 08:30 and 12:00 (surcharge applicable). Please note that this scheduled pick-up time is at the discretion of Meridian RV rental clerks. Early Pick-Up must be requested at the time of booking, and renters are required to contact the station 48 hours in advance of their first rental day to confirm their pick-up appointment time.

RV Pick-Up Appointment
Regular RV pick-up for rentals is between 11:00 and 15:00, and all renters are required to contact Meridian RV to discuss their pick-up appointment time with one of our rental clerks either the day before their rental (between 15:00 and 16:30), or the morning of their rental (between 08:30 and 09:00). These RV pick-up times are pre-determined by our rental staff to avoid long waits at our station. Customers should be prepared to pick-up their units at the assigned time between 11:00 and 15:00.

Rental Returns
Returns take place between 08:30 and 11:00 at our station in Port Coquitlam on a first-come-first-serve basis. Renters must be physically present at drop-off and cannot send someone in their stead to close their contract. Renters are not permitted to just leave their units in the Meridian RV parking lot; nor are they able to park them on the road in front of Meridian RV, as it puts the unit at risk of damage and is prohibited by the city (and will, therefore, be subject to a $500 charge by Meridian RV).

Late Returns
Since late returns are disruptive to daily procedures in our rental department and an inconvenience to customers waiting to pick up motorhomes, vehicles dropped off at Meridian RV between 11:00 and 15:00 on the official drop-off day will be subject to a $50 per hour late charge. No units can be dropped off after 15:00--no exceptions. Customers that do not drop off by 15:00 will be subject to a further charge of 1 rental night, and must be at the station at 08:30 the following morning. Further charges will be applicable if the unit still hasn’t been dropped off at 08:30. For all late returns transfers are considered void.

Early Returns
We allow early drop-offs, but will not offer a refund for lost days. If a return transfer has been booked, we require the unit be dropped off during our regular drop-off period between 08:30 and 11:00, or the transfer will be void.

Potential Charges at Drop-Off
• Failure to bring unit back with a full tank of gas ($50 refuelling fee plus cost of gas)
• Failure to empty storage tanks ($25 charge per tank)
• Failure to refrain from smoking in unit ($250 charge)
• Failure to notify Meridian RV of pets travelling along ($500 charge)
• Failure to bring unit back clean inside/outside ($100-300 charge, depending on condition of unit)
• Failure to return unit in the presence of a rental clerk during regular business hours ($500 charge if unit left on street in front of Meridian RV)

Lost Items
Meridian RV is not responsible for lost items, however, as a favour to our customers, we are happy to ship them ($25 service fee, plus the cost of shipping). We cannot hold lost items indefinitely, so unclaimed items will be kept no longer than 1 week after drop-off.

Transfers
Available to/from downtown and airport hotels only (does not include private, B&B, AirB&B or hostel accommodations). We do not pick up from the airport, but will provide a transfer to the airport after rental. Transfers are offered during scheduled pick-up and drop-off times only. When renters call to book their pick-up appointment, they will also be advised of their transfer time. Transfer times are pre-determined by our rental clerks, and will be assigned to customers. All customers travelling with wheelchairs or scooters should advise Meridian RV of this (preferably upon booking), so that the driver can be notified in advance of the transfer. When travelling with children, proper car seats are required and must be provided by the renter. Due to limited storage in our shuttles, we allow a maximum of 1 suitcase (or equivalent) and 1 carry-on bag, per person. No transfers will be provided for bikes, snowboards, large equipment or oversized luggage. No transfers will be provided for late returns after 11:00, or early returns on a different day other than originally scheduled after 11:00.

Sightseeing Transfers
On request only, narration/sightseeing is available at no additional charge to all customers that have booked transfers. Renters interested should advise Meridian RV when filling out their Customer Check-In Form, or when calling our station 24 hours in advance of pick-up. Please note that on extremely busy days this service may not be available due to time constraints.

Children Travelling Along

- Meridian RV must be advised of children travelling along in child seats or booster seats (provided by renter). Our units come equipped with lap belts only and at least one tether with which to secure children in forward-facing child seats.

-  Rear-facing car seats and booster seats cannot be safely installed (because they cannot be attached to a tether/anchor), and therefore they are not permitted. 

-  No children under 12 years old are permitted to ride in the front of the vehicle

-  Meridian RV cannot tell parents what child restraints are best-suited for their children. All that we can do is advise on what is considered the minimum requirement for child restraint seats, and what our motorhomes can accommodate:

ICBC Minimum Requirements

Infants/Toddlers (until at least 1-year-old and 9kg (20lbs) Rear-Facing Car Seat Not Permitted - The back of a rear-facing car seat cannot be secured to a tether.
Toddlers/Preschool (older than 1 year and between 9-18kg (20-40lbs) Forward-Facing Car Seat Permitted - Secured with a lap belt and tether. 
Children under 9: More than 18kg (40lbs) or 145 cm (4'9'') tall - it is more dangerous to use a booster seat with a lap belt than it is to use a lap belt alone.  Booster Seats Not permitted - Booster seats should only be used with 3-point seat belts, but like the most motorhomes in North America, our units only come equipped with lap belts. 

Note: Car seat recommendations are always changing, and not always consistent. Child Seat Rentals
A limited number available on request only (see rates) and they must be requested at the time of booking. Renter responsible for installation.

Pets
Only permitted in a limited number of units—maximum 30 pounds—and Meridian RV must be advised at booking (Pet Surcharge applicable).

Instructions Before Departure
Pick-up appointments take 90-120 minutes. During this time one of our rental clerks will fill out paperwork with the renter, review insurance information and give them a demonstration of their rental unit. If necessary, a test drive can be arranged. Before leaving the station, each renter receives a rental guidebook and other helpful information for their trip.

US Border Crossing
There is no additional charge for travel to the United States.

Northern Rentals
Limited travel in B Class, C-SM and C-MED units permitted north of Fort St. John along the Alaska and Cassiar Highways into the Yukon and Alaska (Northern Surcharge applicable). No travel permitted on the Dempster Highway (also referred to as Yukon Highway 5 and Northwest Territories Highway 8) into the NW Territories and Nunavut.

Travel Restrictions
No travel permitted: on the Dempster Highway (also referred to as Yukon Highway 5 and Northwest Territories Highway 8) into the NW Territories and Nunavut; to Mexico; to any outdoor festivals, events or concerts (including Burning Man); to Death Valley, California, from June 1st to August 31st; on roads designated on official provincial or state maps as ‘other roads – gravel or dirt’. Insurance coverage is void if travelling in restricted areas without authorization, and renters will be subject to a $2,000 penalty. All repairs, damages and delays caused by mechanical breakdowns in restricted areas are the responsibility of the renter.

Required Security Deposits
At pick-up, renters are required to pay a Security Deposit in the amount of the deductible for whichever insurance coverage they have
requested. The premiums for Basic Insurance are included in all Meridian RV rates. Security Deposits are as follows:

Basic Insurance: $3750 Security Deposit
Limited Risk ‘CDR’ Insurance: $750 Security Deposit

We accept only MasterCard and Visa credit cards for the Security Deposit––no American Express, cash, wire transfers, debit cards or pre-paid credit cards. The Security Deposit will be refunded at drop-off provided unit has been returned on time, there is no damage, it’s clean on the inside and out, all equipment is present and undamaged, the holding tanks are all empty, the gas tank is full (immediately upon arriving at station for pick-up), and no damage claims have been made. Please note that in all cases the exchange rate difference between the deposit given at pick-up and the refund given at drop-off is the renter’s responsibility.

Basic Insurance/Limited Risk ‘CDR’ Insurance
Meridian RV units are insured for $5,000,000 Third Party Liability coverage (public liability and collision). Premiums for this Basic Insurance are included in all rental rates with a deductible of $7,500 per occurrence. This deductible of $7,500 is further reduced by Limited Risk ‘CDR’ insurance, which is included in our nightly rates.

In all situations below Meridian RV Insurance would be considered VOID and the renter responsible for 100% of costs incurred:

  • Hit and Run by the renter or additional drivers
  • Roof damage caused by careless handling of a unit (includes backing into objects and scraping against objects)
  • Undercarriage damage caused by careless handling of a unit (includes bottoming out going over speed bumps, sidewalks and other objects unit is unable to clear; includes damage caused by driving on gravel roads)
  • Interior damage
  • Awning damage
  • Negligent behavior resulting in damage to the unit (includes driving under the influence of alcohol or drugs, travel in restricted areas, towing of any kind, deliberate damage to the unit, or driving without a valid license)
  • Careless behavior resulting in damage to the unit (includes failure to maintain fluid levels, failure to use specified fuel, use of contaminated fuel, water in the fuel tank, failure to use the tow-haul feature when driving on steep hills, freezing of the vehicle’s water system in temperatures below zero)

Repairs and Breakdowns While on the Road
The possibility of mechanical failure or breakdown is an inherent risk associated with the rental of an RV. Any repairs (or replacement parts) costing less than $100 do not require prior authorization of Meridian RV before servicing. For costs in excess of $100, please contact our station first. Reimbursement will be provided at drop-off only when both a receipt and the part replaced are presented to one of our rental clerks. In all cases, the renter will not be reimbursed for loss of time, transportation costs, inconvenience, food loss in vehicle, or any other expenses resulting from repairs to unit. Please note that Meridian RV will not offer refunds for malfunctioning back-up cameras, generators, television sets and awnings, as these are added extras we provide to the customer at no additional charge.

Accidents
Any accident, damage to vehicle, vandalism, fire or theft, must be reported to Meridian RV and the Police within 24 hours of occurrence. Please note that we require a written accident report (found in the customer’s rental guidebook) and a police report file number. In the event the police do not file a report, the renter has to show proof they reported the incident to authorities. For this purpose a written note or business card is sufficient. Meridian RV also requires pictures of the damage to the unit and accident scene, in order to assist in determining the circumstances of the incident. Failure to provide this information will render the insurance null and void.

Insurance Claims
If a renter is involved in an incident, Meridian RV will hold their deposit for the maximum deductible amount according to their insurance coverage, and for a period ranging from 1-4 months in duration. Please note that only the insurance company can expedite the claim; it is out of Meridian RV’s hands at this stage. The final cost to the customer will be the maximum deductible charge (as per insurance purchased), where expenses include––but are not limited to––damage to the Meridian RV vehicle, damage to third party property, injury claims, towing charges, storage fees, insurance adjuster fees and legal fees. In the event the unit is stolen or rendered inoperable, our insurance does not cover accommodation, transportation or vehicle replacement costs.

Responsibility of Renter
When on the road we require renters to exercise prudence in handling and operating our rental vehicles. Misuse and the failure to exercise due care and attention in their operation may result in charges for incurred damage. Please note the customer is also responsible for routine on-the-road maintenance, which includes checking tire pressure, engine oil, and coolant levels, at each refuelling. Renters will be held responsible for damage that results should regular maintenance be neglected.

RV Availability & Upgrades
On rare occasions––when due to unforeseen circumstances a unit suddenly becomes unavailable––it may be necessary to offer a customer a unit other than the one originally booked. In such a situation Meridian RV reserves the right to substitute the unit with one of equal or greater value. Any subsequent expenses (gasoline, ferry costs, etc.) are the sole responsibility of the renter. Should a downgrade be necessary, Meridian RV’s only obligation would be to refund the customer the cost difference between the two vehicles. In the event the renter refuses to accept the vehicle offered, no refund will be offered.

Terms of booking on this website 

Information disclaimer
The rates on this website are often heavily discounted. This is due to our negotiated rates and bulk buying power. On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.

Liability
To the extent permitted by law we/the owners of this website will not be liable to you or to any third party (whether in contract, tort, or otherwise) for any direct, indirect or consequential loss or damage (including but not limited to any accident, injury, delay or loss of enjoyment) arising out of your reliance upon information contained on this website, including but not limited to your use (or inability to use) any products or services described or procured through this website.

When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. Your rental and use of the vehicle will be governed by the terms of the rental agreement and any other documentation or information provided to you by the supplier at the time you pick up your vehicle. The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.

While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. If you encounter issues with the vehicle whilst on hire, you MUST report these issues directly to the relevant supplier at the earliest possible time. This will allow the supplier to remedy any issues and minimise any inconvenience to you.  If you fail to report any vehicle issues during your rental, it is likely that compensation will not be offered. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.

Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.95% credit card or debit card surcharge will be added when your payment is processed.

A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

Information disclosure
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Motorhome rental alterations (all charges stated in local currency): 25.00
The alteration fee will not be charged if your alteration request is not possible.

Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.

Refund Policy
We are committed to providing a quality service and aim for complete customer satisfaction. In the event of cancellation, any refunds or penalties are detailed in the terms and conditions of your selected vehicle that you are asked to read and accept at time of booking. In the event you are unsatisfied with our service, please contact us within 48 hours of placing your booking or request and we will work to resolve any issues and determine if compensation is due. In the event you have completed your rental and are unhappy with your vehicle, we are happy to assist you in seeking compensation from the operator of the vehicle.
